EDC System Selection: 7 Questions to Ask Before You Commit

Choosing the wrong EDC system can lock your organization into years of workarounds, expensive customizations, and frustrated site staff. Before you sign a contract, ask these seven questions.
1. Is it built for clinical trials or adapted from something else?
Many EDC systems started as general-purpose form builders or database tools. Clinical trials have unique requirements — audit trails, electronic signatures, role-based access, validation — that generic platforms bolt on as afterthoughts. Purpose-built clinical EDC systems handle these natively.
2. Does it support eSource or just eCRF?
Traditional EDC only captures CRF data — which means sites still have separate source documents. Modern eSource-enabled EDC eliminates double data entry entirely. Read our eSource guide to understand why this matters.
3. What’s the site experience like?
Sites use your EDC system every day. If it’s clunky, slow, or confusing, site staff will make more errors, submit more queries, and ultimately disengage from your trial. Ask for a site user demo — not just a sponsor admin demo.
4. How does it handle CDISC standards?
If your EDC doesn’t support CDASH and SDTM standards natively, you’ll spend significant time and money on data mapping at the end of the study. Ask whether the system generates CDISC-compliant datasets or whether that’s an additional service.
5. What’s the integration story?
Will this EDC need to integrate with your eTMF, RTSM, safety database, and central lab? Every integration is a project with costs, timelines, and potential failure points. Or — does the platform provide these capabilities natively?
6. Is it 21 CFR Part 11 compliant?
This should be non-negotiable. Ask for their Validation documentation, audit trail capabilities, and Part 11 compliance statement. Don’t take ‘yes’ for an answer — ask to see the audit trail in a live demo.
7. What’s the total cost of ownership?
Look beyond the per-study license fee. Factor in setup costs, training, integrations, change orders for mid-study modifications, and database lock/export fees. The cheapest license is rarely the cheapest total cost.
